Microsoft CRM Server Components

These are necessary components underpinning Microsoft CRM. They are licensed per server and contain the security layer, system administration functionality, system customisation tool kit, workflow and deployment manager.

K3 SmartVision Grids

SmartVision grids, which can be accessed from a browser or Microsoft Outlook, sit alongside SmartVision CRM thus a CRM user can drill down from "anywhere to anywhere" in the CRM system and on every SmartVision CRM table. By double clicking on the highlighted record, the user can open up the source record in CRM.

>New "SmartVisions" can be held at a personal, team or business unit level and respects the system security model. Each user can copy and create new SmartVision which allow users to add their own Key Performance Indicators (KPI's) to highlight data in different colours based on their own criteria using the K3 Expression Builder.

SmartView Document Links

SmartView is another development by K3 which allows documents or folders to be associated with a piece of data such as a customer code or product code. The documents or folders could be located on the network, in a public folder area, thus all customer correspondence or technical product information can be either uploaded in to CRM using the standard Microsoft functionality or associated with a folder or file using K3 functionality.

K3 Enterprise Portal

Quite often it is not necessary to exchange data with CRM but provide a gateway instead to look up information in the back office system. Typically this is used to look at a customer's credit history or status, sales orders and sales statistics, for example. K3 are able to provide links to many different systems which can be accessed via an Enterprise Portal within CRM which presents the data in an HTML (web) format. Thus users whilst online, can get a complete customer picture using CRM as the main user portal.


Through addition of extra buttons in CRM, web page 'views' on live ERP data can be set up.

K3 Price List Management

This facility allows local and foreign prices lists to be created and copied from others. They can be linked to the new cost sets held against the Product Catalog so that Price Lists can be based on percentage markup or margin of the standard costs. There is also bulk Price List maintenance option to allow for increasing or reducing price lists based on a fixed percentage.

K3 Quotations Enhancements

K3 has extended the fields on the quotation product line to add Markup and Margin, so that the user can manipulate these fields together with cost price and selling prices before quoting a customer. All these fields are fully interactive, thus the user can see the effect of changing one field on another. If Foreign Currency options are installed, then a parallel set of fields are used, this time in the foreign currency which interact also with the base currency fields.

The cost price of a component is either held manually within the Product Catalog or calculated and rolled up using the Bills of Material and Routings module. If the Estimator module is installed, then the cost price can be based on the newly created Bills and Routes specifically for the quoted product.


Software Options

K3 Foreign Currency

Foreign Currency options have been added by K3 to the base system to cater for Foreign Currency which is not provided by Microsoft as standard. This facility will allow customers to manage foreign currency price lists, value sales opportunities in different currencies and provide foreign currency facilities for Sales Quotations.

Full foreign currency facilities have been added in the following areas;
Price Lists - Price Lists held in trading currencies
Contacts - A default currency on each contact
Accounts - A default currency on each account
Opportunity - A default currency on each Opportunity
Quotations - Quotations to be raised in an alternative currency
Sales Orders - Orders to be raised in an alternative currency

Bills of Materials & Product Cost Rollup

The Bills of Material module allows users create and to maintain assemblies and sub-assemblies using the components from the Product Catalog. The main Bill of Material maintenance program allows users to create assemblies using HTML Drag and Drop functionality. It also has built in integrity checking used to check for circular assemblies. There are options to explode or implode all levels or drill down on one leg only. The Routings module, if installed, can be called from here also.

The CRM Product Catalog has been enhanced to hold Standard Cost sets for each product, whether they are Purchased or Manufactured items. There are two cost sets – Standard (Live) cost sets and an identical (Pending) cost set. The Product Costing elements of Bills of Material can be used to roll up the standard costs throughout an assembly to a higher level and update the Pending Standard Costs sets on held on the Product Catalog. A further routine to copy the Pending to Live cost set is also provided. There is also a routine to produce a costed BOM report at the time of roll up.

Routing and Work Centre Maintenance including Product Cost Rollup

Like the Bill of Materials, there is functionality to hold Work Centres and Product Routings for manufactured products. The Work Centres can be created with the costs sets which are used as part of the cost roll up function. Additional notes and text can be held against Work Centres.

Production Routings can be created through the factory using setup and run times for each operation against the Work Centre. This screen used K3’s editable grids for quick maintenance. The Routing program also has a sequence number re-generator for re-numbering operations, should production stages be inserted between two existing operations. The user can call the Bill of Materials program, if installed, from the Routing program. The Cost Roll Up program works in a similar way to the Bills of Material cost roll up by maintaining the labour rates and updating the Product Catalog at the assembly level.

K3 Estimation and Quotation Module

K3 have developed facilities to allow the Bills of Materials, Work Centres and Manufacturing routes to be created and maintained within SmartVision CRM and used when creating a new product for quotation purposes. From the quotation detail screen, the user can load an estimate worksheet, which can be used to amend the top level bill of materials or the routing for a product, for the purposes of estimating the likely cost of a new product. The details of which will be come unique to that quotation being held against the quotation line for later revision, if required.

The product cost is then carried though to the quotation line for where the margin and markup fields can be manipulated before finally deriving a selling price. (See K3 Quotation Enhancements)

Ability to change total margin and markup for multiple quote lines

The K3 Estimation and Quotation Module is an optional module and must be purchased separately. The SmartVision Sales module and SmartVision Framework Module must also be purchased as a minimum.
